Do I need to enter a card to start the free trial?

Yes. We take card details to set up your subscription, but nothing is charged for 14 days. You get full access from day one, we send a reminder before the trial ends, and if you cancel any time before day 15 you pay nothing at all. Cancelling takes one click in your account settings; there is no phone call and no notice period.

How much does QR ordering cost in the UK?

TableFlow starts at £49 per month for founding members (standard price £99), and the top plan is £199 per month (standard price £299). Annual billing charges ten months for twelve. On top of the subscription you pay Stripe's card processing fee, which goes to Stripe rather than to us: Stripe processing: 1.5% + 20p per UK card, passed through at cost. There is no per-order commission, no setup fee and no hardware to buy.

Can I change or cancel my plan?

Yes. Upgrade or downgrade at any time. Changes take effect immediately and billing is prorated to the day. There are no long-term contracts and no exit fees.

Open your account settings and cancel in one click. If you cancel during the 14-day free trial you are never charged. If you cancel later, your venue keeps working until the end of the period you have already paid for, and it is not renewed. We do not ask for a reason and there is no notice period.

How long does it take to go live?

Most venues are live and taking orders in under 30 minutes. Upload your menu, set your branding, print your QR codes, and you are done. If you would rather hand it off, our team will do the full setup with you at no extra cost.

Do I need to buy any hardware?

No. TableFlow runs in the browser, so any phone, tablet or laptop your team already has can act as the kitchen or bar screen, and your customers use their own phones. The only physical items are the QR codes, which you print yourself on paper, table talkers or stickers.

Can I use it in a beer garden or outdoor area?

Yes. Outdoor areas are where table ordering pays for itself fastest, because they are the tables staff reach least often. Each outdoor table gets its own QR code exactly like an indoor one. The only requirement is that customers have mobile signal or Wi-Fi where they are sitting, so it is worth walking the garden and checking coverage before you launch.

Can I customise the menu and branding?

Yes, fully. Your menu is built in our editor. Add photos, descriptions and live availability toggles, and mark items out of stock mid-service in a couple of taps. Your brand colours, logo and venue name appear throughout the customer-facing experience on the Premium and Pro plans.

Do customers need to download an app?

No app, no account, no sign-up. Customers scan the QR code and your menu opens straight in their phone browser. Removing the download step is the single biggest reason table ordering converts at all. Every app install is a point where most people give up.

Does QR ordering increase average spend per head?

It removes the main thing that caps spend: the wait to catch a server's eye for a second round. When ordering another drink or a dessert takes a few taps instead of a wave and a wait, more of those orders actually get placed, and the menu can suggest extras at the moment of ordering rather than relying on staff to remember. We are a new UK product and will not quote you an uplift figure we cannot stand behind. Run it on a few tables during the free trial and compare your own average covers.

Will QR ordering replace my staff?

No. It moves them from taking orders to looking after guests. TableFlow handles the repetitive part of the job (walking over, writing it down, walking to the till, keying it in) so the same team can cover more tables on a busy service without anything being missed. Most venues use it to stop turning away covers they cannot staff for, not to cut hours.

Do I still need waiting staff?

Yes. Someone still has to run food and drinks, greet guests, handle the room and answer questions, and TableFlow does none of that. What changes is that your staff spend their time on the parts of service that guests actually notice, and orders arrive at the kitchen typed and correct instead of shouted or scribbled.

Do older or less tech-confident customers manage it?

Most do, because scanning a QR code and tapping a picture of a drink is about as simple as a web page gets. There is no app, no login and no password. For anyone who would rather not, nothing is lost: staff can still take the order at the table and put it through themselves, and the two ways of ordering run side by side on the same service.

What about allergens and dietary requirements?

Allergen and dietary information goes in each item's description, and guests can add a note to any item or to the whole order, which arrives with the ticket in the kitchen. Be aware of what this does not do: TableFlow has no dedicated allergen tagging or filtering yet, and it does not discharge your legal duty under UK food information law. You must still be able to give accurate allergen information and your staff remain responsible for that conversation. Dedicated allergen fields are on the roadmap.

Does it integrate with my existing POS?

Not yet. Direct POS integration is on the roadmap. Today, orders arrive in your TableFlow staff dashboard in real time and your team manages them there, alongside whatever till you already use. Get in touch if you have a specific system in mind and we will tell you honestly where it sits on our list.

What happens if the internet goes down?

Orders need a live connection, so if your venue loses internet, guests cannot place new orders and your team falls back to taking them at the table. Orders already in the dashboard are safe. A cheap mobile-data backup on the staff device is worth having if your connection is unreliable.

How do payments work?

Payments are processed by Stripe, and money goes to your own Stripe account, not through us. Customers pay by card, Apple Pay or Google Pay from their phone, and funds settle to your bank on a rolling two-business-day basis. Stripe processing: 1.5% + 20p per UK card, passed through at cost. In-app payments are included on the Premium and Pro plans.

What happens to tips?

Card payments are settled in full to your own Stripe account, so nothing is deducted for tips and we never touch them. TableFlow does not yet add a tip prompt at checkout, so tipping works exactly as it does now: cash on the table, or added at the till. A tipping option at checkout is on the roadmap; tell us how you distribute tips and it will shape how we build it.

Is TableFlow PCI compliant?

Yes. Card details are entered directly into Stripe and never touch our servers, so you sit behind Stripe's PCI DSS Level 1 certification, the highest level available, without extra compliance work on your side.
